Zoom certification

Zoom certification should be the baseline for any room that a business expects staff to use without technical support. Certified kits from brands such as Poly, Logitech, Neat and DTEN are tested for camera, audio, compute and controller interoperability, and they receive firmware and platform updates through a predictable path. Certification does not remove the need for room design, but it reduces avoidable support issues. Audico should still verify room size, seating layout, network quality, calendar platform and IT management requirements before choosing a kit.

BYOD vs dedicated

Dedicated Zoom Rooms use fixed compute, controller and room hardware so meetings launch with one-touch join and consistent settings. They are best for boardrooms, client-facing rooms and any space where meeting failure is expensive. BYOD rooms let users connect a laptop to shared camera, microphone and display hardware, which is flexible but depends on clear USB, HDMI or USB-C routing and user discipline. Many offices need both patterns: dedicated rooms for formal spaces and BYOD for smaller collaboration areas with lower support risk.

Smart Gallery

Zoom features such as Smart Gallery, speaker framing and multi-stream camera views can improve equity for remote participants, especially in long rooms where a single wide shot makes everyone look distant. These features work best with cameras that have enough resolution, optical range and processing quality for the room depth. In a huddle room, a wide-angle bar may be perfect. In a boardroom, a PTZ or intelligent multi-camera system can keep faces clear and make conversation feel less one-sided for remote attendees.

Scheduling integration

Calendar integration is what turns good hardware into a room people actually use. Connecting Zoom Rooms to Microsoft 365 or Google Workspace enables one-touch join, accurate room availability and external scheduling panels where needed. IT should decide how rooms are named, who can book them, how updates are managed and what happens when a meeting starts late or runs over. Touch controllers, door panels and occupancy sensors can reduce friction, but only if the calendar and network foundations are stable.
